Purpose of the job
The Refugee Council offers a wide range of training to other professionals, delivered by our frontline staff and drawing on their experience in the field.
The Training Administrator will work closely with the Training Manager, trainers, and prospective customers to ensure that our training packages are delivered to the highest standard. This will include coordinating between customers and trainers, booking transport and accommodation, organising bookings and refreshments for scheduled training, collation and delivery of training materials, monitoring of attendance and evaluation forms, and collation of statistical and other information. It will also include maintaining appropriate systems to ensure that effective delivery is possible.
The post will demand thorough and careful communication with the Training Manager to co-manage a range of time-sensitive work with a mix of stakeholders. The post holder will have an approachable and flexible attitude, be calm and efficient in their work, and have excellent attention to detail.
Main duties and responsibilities
Administration and support
- To maintain effective administrative and monitoring systems to ensure accurate tracking of expenses, course subscriptions, evaluations, delegate enquiries, course bookings, training materials, and trainer logistics
- To act as first point of contact for enquiries, responding promptly and appropriately to a range of stakeholders
- To be responsible for the booking of travel and accommodation for trainers, according to their needs and preferences, keeping records of spending, as well as trainer
Team working and Key Relationships
- To work closely with the Training Manager to insure tasks are handed over or shared so that they don’t get dropped
Health & Safety
The post holder is responsible for:
Cooperating with the Refugee Council in delivering all legal responsibilities in respect of your own and your colleagues, volunteers, clients and others’ health and safety whilst at work.
Becoming familiar with the Refugee Council’s Health & Safety Policy and procedures including evacuation procedures at your workplace.
Carrying out risk assessments of your own work and especially of your own workstation to ensure that you do not expose yourself or others to unnecessary risk.
In order to deliver services effectively, a degree of flexibility is needed and the post-holder may be required to perform work not specifically referred to above. Such duties will, however, fall within the scope of the job, at the appropriate grade. The job description will be subject to periodic review with the post-holder to ensure it accurately reflects the duties of the job.
